If you require a monitor for your sponsor table it must fit on the table provide.  Monitors placed on stands next to the sponsor table will not be allowed.

Rental Costs:

  • Monitor 19” = 65.00€ + 21% IVA (tax)
  • Monitor 40” = 125.00€ + 21% IVA (tax)
  • Laptop 15” = 145.00€ + 21% IVA (tax)
  • Rates are per day, per unit (tax)

A 16amp electrical line is available for your Showcase table for 8.00€ + 21% IVA (tax) per line.  Send an email to Dunia Chacón at ols.mel@eveniahotels.com by March 20, 2015 to request an electrical line. If you are bringing your electronic devices, please make sure you have the correct converter.

Important: If you have not already done so, we need your logo in (2) two formats.

Logos for print:

  • CMYK color mode
  • Preferred format: Vectored-based Adobe Illustrator or EPS file (Compatible with AI CS6 or older).
  • Acceptable: JPEG logos must be high resolution (300 dpi, minimum 8” wide)

Shipping – Customs & Storage

To help with shipping of your materials to Spain we recommend using a licensed customs broker.

Once shipment is ready, please have your customs broker send an email to Dunia Chacón at ols.mel@eveniahotels.com so Hotel Evenia Olympic Suites can prepare for the arrival of your shipment.

Please note that Conference Management and Evenia Olympic Suites do not accept responsibility for packages left for shipment after the meeting, therefore your boxes must be labeled correctly and you must be present to meet with your courier once the conference finishes.

Sponsor Operations & Conduct


Canvassing or distributing advertising matter outside the exhibitor’s own exhibit is not permitted. Character of the exhibits is subject to the approval of Conference Management. Conference Management reserves the right to refuse applications of the exhibitors not meeting the standards required or expected, as well as the right to curtail exhibits or parts of exhibits which reflect against the character of the meeting. We expect that all products will be up to professional standard. This applies to displays, literature, advertising, novelties, souvenirs, conduct of persons, etc.


Exhibitors wishing to insure their exhibit materials, goods and/or wares or exhibits against theft, damage by fire, accident, or loss of any kind, must do so at their own expense.

Fire Protection

All the materials used in the exhibit must be flameproof and fire resistant in order to conform to local fire ordinances. Crepe paper, corrugated paper, flameproof or otherwise, will not be permitted. Display racks, signs, spotlights and special equipment must be approved before use, and all displays are subject to inspection by fire marshal. Any exhibits or parts thereof found not to be fireproof may be ordered dismantled. All aisles and exhibits must be kept clear at all times, and fire stations and extinguishing equipment are not to be covered or obstructed.

Subletting of Space

The subletting of space, assignment or appointment of the whole or part of assigned space by any exhibitor is prohibited. No exhibitor may be permit any of the party to exhibit in his space any goods other than those manufactured or handled by the contracting exhibitor, nor permit the solicitation of business by others within his space.


All matters and questions not covered by these regulations are at the discretion of Conference Management. These regulations may be amended at any time by Conference Management, and all amendments that may be so made shall be equally binding upon publication on all parties affected by them as the original regulations.

Display Guidelines

Because this is a table top show, space is very limited. You will be restricted to the following display material only. Anyone violating these guidelines will be asked to remove their displays.

 Platinum Sponsorship & Higher
  • Two (2) pull-up sign placed behind your table
  • Branded table covers are allowed
  • All other signage/material must be able to fit on top of your table, and not exceed 8ft in total height
  • No signage is allowed in front of your table or in the aisle
